Comparison
SkySign vs SharePoint: the library and the proof.
SharePoint is where many operators keep their manuals and procedures, and it is very good at that. What it doesn’t do out of the box is collect an acknowledgement from each frontline employee and show who is outstanding.
- SkySign is for
- Issuing the approved document to frontline staff and recording each person’s acknowledgement, with live completion by group.
- SharePoint is for
- Storing, revising, approving and collaborating on documents across Microsoft 365.
Side by side
SkySign and SharePoint, capability by capability.
Judged on one job: getting a document to staff and proving each person acknowledged it.
| Capability | SkySign | SharePoint |
|---|---|---|
| Storing and organising documents | Partly Keeps every document you issue in private storage, in one list without folders. | Yes Libraries, folders, metadata, search and permissions. |
| Revision history | No Revisions aren’t tracked; each revision is issued as a new document. | Yes Versioning is on by default in Microsoft 365 libraries, and earlier versions can be restored. |
| Check-out and approval | No No check-out or approval workflow. | Yes Check-out and check-in, with approval flows available through Power Automate. |
| Per-person acknowledgement | Yes Staff tick a statement and type their name; the statement, time and file fingerprint are stored. | Partly Not built in. Teams build it with Power Automate, Power Apps or Microsoft Forms, or add a third-party app. |
| Who is outstanding | Yes Live completion by document, group and person, with an unsigned list. | Partly Possible with a custom list and flows that someone builds and maintains. |
| Reminders | Yes One-click nudges, plus one scheduled reminder per document. | Partly Possible with Power Automate flows. |
| Frontline access | Yes Staff sign in with an email address and password or with Google, in any phone browser. | Partly Staff need a Microsoft 365 account, or guest access, to reach the site. |
| Audit evidence | Yes A CSV export, a filtered PDF report and a certificate for each acknowledgement. | Partly File history shows who changed what; acknowledgement evidence depends on what you build. |
| Microsoft sign-in | No Not yet. Single sign-on with Microsoft is planned. | Yes Uses your Microsoft 365 sign-in. |
Which should you use?
When SharePoint is the better choice
- Keeping the master library of manuals and procedures, with revision history and restore.
- Drafting, reviewing and approving documents before they are issued.
- Organisations where every frontline employee has a Microsoft 365 account, and someone can build and maintain an acknowledgement flow.
- Fine-grained permissions on individual files and folders.
When SkySign is the better choice
- Collecting an acknowledgement from each person, with the exact statement accepted, without building it yourself.
- Frontline staff who don’t have Microsoft 365 accounts.
- Seeing completion by station and department group as it happens, and chasing who is behind.
- Producing audit evidence for one document in a few clicks.
Use both: SharePoint holds the master, SkySign shows it was read.
Approve and store the procedure in SharePoint as you do today. Issue the approved PDF in SkySign, with the revision in the title, to the groups that must follow it. When the next revision is approved, issue it as a new document and deactivate the old one.
The SHA-256 fingerprint on each acknowledgement lets you show that the file staff acknowledged is the approved file in your library. See document control.
Where SkySign falls short today
- No single sign-on with Microsoft yet; it is planned.
- No revision history: each revision is a new document.
- No connector to SharePoint; approved files are uploaded to SkySign separately.
- File access is scoped to your organisation, not to individual files.
Questions
Frequently asked questions
Can’t we just build this in SharePoint?
Yes, with Power Automate, Power Apps or Microsoft Forms, or with a third-party app. Weigh the build and upkeep, and how staff without Microsoft 365 accounts will take part, against a tool built for the job.
Does SkySign connect to SharePoint?
Not yet. Upload the approved PDF to SkySign when you issue it. There is no connector today.
Will staff need a separate sign-in?
Yes. Staff sign in to SkySign with an email address and password or with Google. Single sign-on with Microsoft is planned but not available.
