Upload and issue a PDF policy

The standard way to issue a procedure, manual or bulletin you already have as a PDF. Nothing is sent until you confirm on the review screen.

Choose the file

  1. 1
Go to Documents → Upload documents
Or Issue document from the dashboard.
  2. 2
    Choose files
Click the upload area or Choose files and pick one or more PDFs. Each PDF must be under 3 MB.
  3. 3
    Check the title
Each file gets a card with a Document title taken from the file name; change it to what staff should see.
Large manuals
Compress large PDFs, or split a long manual into the sections staff actually need to acknowledge. The SHA-256 fingerprint is taken from the exact file you upload.

Set the options on each card

Options when uploading a document
OptionWhat it does
Add notesExtra context shown to staff with the document, such as what has changed.
Summarize with AIOptional. Drafts a plain-English summary of the PDF for you to check; it is kept with the document for administrators.
Assign to DepartmentThe groups the document goes to. Groups with “Station Management” in the name are selected automatically — untick them if not needed.
Add Individual UsersNamed people, in addition to the groups.
PriorityNormal or Urgent. Urgent documents are highlighted and listed first for staff.
Acknowledgement statementWhat staff confirm. It applies to every file in this upload. See acknowledgement statements.
Auto NudgeOne reminder to anyone still outstanding after 1–4 weeks or a custom number of days, or Off. See reminders.

Review and issue

Choose Preview to open Review before you issue. It shows what staff will see, how many people the document is going to and who they are, and lets you set an optional Due date that applies to every file. When everything is right, choose Upload and distribute.

SkySign stores the file privately, fingerprints it with SHA-256, assigns it to the people you chose and emails each of them a link straight away.

Changing a document after it is issued
If the procedure itself changes, issue the revision as a new document so everyone acknowledges the new text. Editing a document does not ask anyone to acknowledge it again.

What this doesn’t do

  • PDFs over 3 MB cannot be uploaded.
  • Due date and Auto Nudge cannot be changed after the document is issued.
  • Documents are issued as version 1; there is no version history. Issue changed procedures as new documents.
