Documents

Deactivating versus deleting a document
ActionWhat happensRecords kept?
DeactivateThe document stops asking for acknowledgement and is hidden from staff — including from their history and certificates. It no longer counts towards your active-document limit, and you can reactivate it.Yes. Administrators still see every acknowledgement and can export them.
Delete permanentlyAfter you confirm with your password, the file, its assignments, its acknowledgements and any knowledge-check results are removed. The deletion is written to the audit log.No.
Important
Where audit history must be kept, deactivate rather than delete — and export the records first if you are in any doubt.

People

Use the Enabled switch on the Users page to disable leavers. A disabled person can no longer sign in or receive emails, and their acknowledgement history stays on record. Disabled people still count towards your seats.

Your organisation

An Employer can delete the whole organisation from Delete account at the foot of the sidebar, confirming with their password. This is permanent: it cancels the subscription and removes the organisation’s documents, records, groups and audit log. Copies held in the hosting provider’s backups expire according to the provider’s retention. See the Trust Centre.

What this doesn’t do

  • People cannot be deleted from within SkySign; disable them instead. Ask support if a person’s data must be erased.
  • Deactivating a document is not written to the audit log; deleting one is.
  • Deleted records cannot be restored from within SkySign.
